1. Who we are

HotDrop is a Discord bot operated by Artchemy Labs LLC ("we", "us"), an independent software studio in Connecticut, USA. This policy explains what data HotDrop handles and why. It covers the HotDrop bot and this website.

2. The short version

HotDrop stores the keywords you ask it to watch and the Discord IDs needed to deliver alerts to you. It doesn't read your messages, doesn't sell data, and you can wipe everything yourself at any time with /deal me → remove your alerts, or by removing the bot.

3. What we receive from Discord

When you use HotDrop, Discord provides your user ID, and — for server features — the guild (server) ID and channel ID you configure. These are numeric identifiers, not your message content. Server-feature reconciliation uses the Server Members intent to identify which admin holds a premium entitlement; we read membership and permission flags, not message history.

5. What we never receive

HotDrop does not read, store, or process the content of your messages, your email, your payment details (Discord handles all billing for HotDrop+), or anything you haven't explicitly given it by adding a keyword or configuring a feed.

6. Who else touches your data

To run the service we rely on a small set of infrastructure providers, each acting only as needed to operate HotDrop:

7. How we use AI

When you add a keyword, HotDrop sends that keyword only to an AI provider to expand it into related product terms (for example, "graphics card" → "RTX 4090", "GeForce", "Nvidia"). We send the keyword text and nothing else — no user IDs, no message content, no personal information. Expanded results are cached and shared so common keywords aren't re-sent. AI providers process this text to generate a response and do not use it to train their models under our API terms.

8. How long we keep things

Your keywords, settings, and IDs are kept for as long as you use HotDrop. Records of already-sent deals are transient and rotate out over time. If you remove an alert, its data is deleted. If you remove the bot from a server, that server's feed configuration is deleted.

9. Deleting everything

You are always in control. Remove individual alerts in /deal me, remove server feeds in /deal server, or remove the bot entirely to purge its configuration for you or your server. To request full deletion of any residual data, email us (see §14).

10. Your rights

Depending on where you live, you may have rights to access, correct, or delete the data we hold about you. Because HotDrop holds very little — keywords and numeric IDs — most of this is self-service, but you can always contact us to exercise these rights.

11. Age

HotDrop is not directed to children. You must meet Discord's minimum age requirement for your country to use it.

12. Security

Data is stored in a managed PostgreSQL database with access restricted to the bot service. No system is perfectly secure, but we limit what we collect precisely so there is little to expose.

13. Changes to this policy

We may update this policy as the product changes; the "Last updated" date above always reflects the current version. For material changes — a change in what we collect, how we use or share it, our AI providers, or what a paid plan includes — we'll give notice before it takes effect.
